Your account
How do I create an account?
Choose Start Free and sign up with your email address or mobile number. Enter the verification code we send you, then set your name and password.
I did not receive a verification code.
Wait a minute and choose Send a new code. Check your spam folder for email. For mobile numbers, make sure the country and number are correct.
How do I reset my password?
On the login page choose Forgot password, enter your email or mobile number and follow the code we send.
Can I sign in with either email or mobile?
Yes. Add both under Sign-in & security; each is verified with a code before you can use it.
How do I sign out other devices?
Open Sign-in & security to see every signed-in device and sign out any of them.
Can someone else manage my meals for me?
Yes. Under Account access you can allow a trusted person to act for you with limited permissions. Everything they do is recorded with their name.
Organizations & members
How do I create an organization?
Open My organizations and choose Create an organization. You become its owner and can invite administrators under Roles & access.
Do members need their own accounts?
No. You can add members with just a name and Employee, Student or Patient ID. They can create an account later and link to their existing record.
How do I import many members?
Open Import members, download the CSV template, fill it in and upload it. Every row is checked before anything is saved.
What is a claim code?
A one-time code you can give an accountless member so they can securely link their new account to their existing record and history.
How do I give someone admin or serving access?
Open Roles & access and give them a role. Roles control exactly what each person can see and do.
Can two members have the same Employee ID?
No. Each active Employee ID is unique within an organization, so cards and payroll always match the right person.
Meal Programs & daily meals
What is a Meal Program?
A recurring meal such as Lunch, with days, serving time, cutoff and who is eligible. Eligible members are included automatically unless you choose opt-in.
How do I pause my meals?
Open My meals and choose the meals or dates to pause before the cutoff. You can resume the same way.
What happens at the cutoff?
Preparation starts and the meal quantity is committed. After that, normal pause, resume and ordering close for that meal.
How are holidays handled?
Add them under Calendar & exceptions. No meals are planned on those days.
How do I order a guest or extra meal?
If the program allows it, place an order before the cutoff from the day’s meal page or from My meals.
Cards & serving
What hardware do I need at the counter?
Any phone, tablet or computer with a browser. A USB or Bluetooth barcode/QR scanner makes serving faster.
What happens if a card is scanned twice?
The second scan shows “Already served” with the time and no second meal is recorded.
A member lost their card. What do I do?
Open the member, mark the card as lost or replace it. The old card stops working immediately; the Employee ID and history stay the same.
How do I fix a serving mistake?
Use Recently served on the serving counter to correct or reverse a serve. A reason is required and the change is recorded.
Charges & payroll
How are meal charges calculated?
Each served meal uses the price and subsidy in force that day. Later price changes never rewrite past charges.
How does payroll work?
Create a payroll period, collect charges, review and adjust, approve, lock and download the CSV. Then mark it as submitted and confirm the deduction.
Can a locked payroll period be changed?
A locked period cannot be edited. Corrections are made as adjustments in a later period so the history stays accurate.
Where can members see their charges?
Under Meal charges in their own account, once their account is linked to their membership.
Plans & billing
Is MealSecretary free?
Organizations are free for up to 50 active members. Personal, Professional and Provider use also have free plans.
How do I upgrade?
Open Plan & billing in your organization and choose a plan. You can change plans at any time.
