MealSecretary vs traditional cafeteria software

A Meal Is More Than a Cafeteria Transaction

MealSecretary connects what happens before and after serving.

Traditional cafeteria systems commonly concentrate on

  • Payment
  • Counter transactions
  • Serving
  • Basic reporting

MealSecretary also connects

  • Meal demand
  • Kitchen production
  • Actual consumption
  • Nutrition
  • Charges & payroll

Meal Demand

Know How Many Meals You Actually Need

How does MealSecretary calculate meal demand?

It starts from everyone enrolled in a Meal Program, then applies the calendar, schedules, leave, pauses, additional meals, guest meals and authorized overrides. The result is a stronger operational requirement than simply using total employee or member count.

  • Meal Program enrollment
  • Organizational calendar and recurring schedules
  • Pause and Resume, leave and absence
  • Additional, Guest and Overtime Meals
  • Location and authorized overrides
  • Shifts Planned

Pause, Resume & Additional Meals

Members Change Plans. The Kitchen Count Stays Honest.

Before preparation starts, members and administrators can pause, resume and add meals. After preparation starts, MealSecretary preserves the committed production history rather than rewriting it.

  1. Before Preparation

    • Pause
    • Resume
    • Additional Meal
    • Guest Meal
  2. Preparation Starts

At the cutoff time, or when the kitchen starts. The quantity is committed.

  3. Committed Quantity

    • Additional Availability (from spare committed meals)

Fast Serving Without Losing Control

How does MealSecretary prevent duplicate serving?

Every scan identifies the membership, checks today’s meal allocation and serving history, and only then authorizes the serve. A second scan for the same meal shows “Already served” with the time, and every serve, correction and reversal is recorded.

Accountless Members

Your People Don't Need Accounts Before You Can Start

Do employees or students need MealSecretary accounts?

No. Organizations can manage accountless Persons with a membership, Employee ID, Student ID or Patient Number, Meal Program, card, serving history, additional meals, charges and payroll history.

If that person creates an account later, they verify their identity and the existing Person is linked. The history stays the same. MealSecretary never creates a duplicate Person merely because someone registers.

Foodservice Providers

How can foodservice providers manage multiple clients?

Actual Consumption

Serving a Meal Doesn't Mean It Was Consumed Beta

How does MealSecretary track actual consumption?

After serving, the person or an authorized staff member records how much was actually eaten—all, three quarters, half, a quarter, none or a custom amount. If nobody reports it, the meal stays “Unknown”. MealSecretary never assumes served equals consumed.
